EUDR compliance partner. Kapak Road supports the EUDR process and collects the geolocation, land-use and legality documentation needed per lot. The EU operator submits the Due Diligence Statement.

The distinction

A visible source is the start, not the conclusion.

A named producer or map point supports traceability. Due diligence goes further: it tests source identity, location, production timing, legality information, chain of custody, document scope, risk and transaction responsibilities.

Traceability

Links the lot to disclosed people, places, product records, dates and route participants.

Due diligence

Reviews that information for completeness, consistency and risk in the context of a specific buyer, role, destination and transaction.

Validation sequence

A status is only useful when the check behind it is visible.

01

Record

Link each field to the lot, source relationship and applicable product context.

02

Source & date

State who supplied the information and separate commercial confirmation from editorial updates.

03

Review

Check completeness, consistency and document scope before using Reviewed.

04

External verification

Use Externally verified only when a named independent party, scope and date can be identified.

05

Transaction update

Reconfirm volume, sample, route, parties and documents before quotation or shipment.

Responsibility model

Clear roles prevent evidence from becoming a vague promise.

Kapak Road

Compiles the EUDR information package with producers — collecting geolocation and supporting documents — structures the lot record, records evidence state and date, checks consistency and requests missing information. Part of the document set is prepared with an independent UK-based verification partner.

Origin partner

Provides source, production, commercial and supporting information within its role, and responds to identified gaps.

Independent verifier

Confirms only the named scope where an external audit, certificate, test or other independent review exists.

Buyer / operator / trader

Determines its legal role, assesses risk, decides whether mitigation is required and submits any due-diligence statement for which it is responsible.

International requirements

Where EUDR and other requirements come in

Traceability information is collected when a supplier is onboarded, published per lot, and then tested against the requirements of the specific transaction. EUDR is the clearest current example for coffee and cacao entering the EU.

What the lot record carries

Producer and source identity, production region and timing, plot geolocation status, chain-of-custody status and legality information where disclosed — each field with its own evidence state, never a blanket claim.

What Kapak checks per transaction

Before commitment, the lot record is checked against the destination's requirements: EUDR geolocation and legality expectations for the EU, import and quality documentation, and any certification the buyer requires. Gaps are made visible, not smoothed over.

What remains with the operator

Kapak does the document work: geolocation and supporting documents are collected together with the producers, with part of the set prepared by an independent UK-based verification partner. Only the formal submission of the due-diligence statement — a legal act tied to the operator's own risk assessment — remains with the operator or trader placing the product on the EU market.

Public record example

Field-level, not a blanket score

Kapak Road shows which checks have a disclosed state and which still need confirmation. A high count is not a certification, compliance decision or guarantee.

Coverage

What the record can cover

Producer information

Producer name, cooperative, community, region and organisational context are described where the partner has approved public sharing.

Quality information

Cupping notes, physical specifications, moisture and defect information are described per lot where a current sample and assessment exist. Scores are only published with the cupper, date and sample context.

Product description

Category, variety, process or format, packaging, harvest window and minimum order are described per lot.

Certifications

Only named third-party certifications supported by a current certificate are listed. If no certificate has been reviewed, the lot page states that no current certification document is published.

Traceability information

Where available: producer identity, farm or community information, plot geolocation status, chain-of-custody status and partner-reported origin information.

Documents

Each document status is described explicitly (received / reviewed / requested / expected for shipment / not yet received / not applicable). Documents that may be issued for a shipment are not described as currently held.

EUDR-related information

Tracked per lot using defined evidence stages. Final legal obligations remain with the relevant operator or trader.

Shipment basis

Where available, the proposed warehouse, route and shipment basis are discussed during quotation and confirmed in the final commercial documentation.

Packaging

Previously published or partner-reported packaging formats include GrainPro-lined jute for coffee, and jute-with-liner, vacuum-sealed cartons or tempered/packed formats for cacao. Actual packaging is confirmed per lot.
